Receptionist/Administrator

    The Receptionist role will be Receptionist for the OmniPro group located in Wexford and be the face and voice of OmniPro and responsible for all receptionist duties as outlined below.

    You will also be required to assist with the overall facilities for the OmniPro Building.

    Main Duties & Responsibilities:

    • Operating the Switchboard, dealing with the public and internal calls as appropriate. Providing information to callers, taking and relaying messages efficiently
    • Responsible for all visitors to site, from initial welcome to ensuring they are met by their host.
    • Coordinating and maintaining up to date information with regards ensuring we have everyone’s location and status updated and providing up to date lists to the payroll team.
    • Carrying out incoming and outgoing Post duties, as necessary. Including responsibility for all deliveries/parcels received at the main reception desk.
    • Maintain a safe & clean reception area, ensuring lay out is tidy and welcoming and materials are replenished.
    • Ordering supplies i.e.: stationary
    • Assist with administration and clerical duties along with providing general day to day administration and clerical support.
    • Support the Professional Services senior team members administratively to include: – client correspondence, making appointments, issuing of PSA’s, raising of Bills, chasing debtors for missed payment, filing, and reporting as required.

     

    Facilities

    • Work with our 3rd party providers to ensure the upkeep of our Fire Alarms, Lift, Air Con, Cleaners.
    • Point of contact for the office handyperson, electrician, and plumber. as and when needed.
    • Responsible for the daily post run
    • Bank lodgments as guided by Financial Control
    • Responsible for the stock take of office cleaning and toiletry supplies and restocking, as necessary.
    • Completing cleaning checks on a weekly basis of the entire building and making sure the building is kept to a high standard on a day-to-day basis.
    • Responsible for the basic canteen supplies and restocking, as necessary.
    • Managing all deliveries to the office and ensuring they have been allocated to their rightful place in a timely manner.
    • Ensuring both print rooms are kept clutter free and tidy.
    • Managing the scheduling and payment of the office cleaners.
    • Recording all Health & Safety and Fire Inspections for the Company as per policies
    • Consulting with Head of Operations to ensure a safe working environment for all employees.

     

    Person Specification

    • Minimum of 2 or more years in a similar role
    • Experience of working in an office environment essential
    • Excellent customer service skills
    • Effective communication (verbal & written) and interpersonal skills experience.
    • Good organizational & administration skills and ability to prioritize workload efficiently.
    • Working knowledge of Microsoft Office products including MS Word, Excel, PowerPoint, and Outlook
    • Ability to multitask and keep multiple customer issues in progress at once.
    • Ability to work with and part of a team.
    • Ability to plan, prioritise and work to strict deadlines.
    • Good communication and interpersonal skills with a strong customer focus both internally and externally
    • Experience in a similar role essential
    • Fluent English (required)
