Executive Assistant Administrator

    Due to the nature of the role, it will require daily physical presence at our Wexford Office.

    This is a very exciting opportunity to really be a part of the business. Working closely with the Senior Executive Assistant to the CEO, you will get to develop an understanding of strategic goals, really get an insight into how the business works and provide relevant support to meet their individual and collective objectives.

    You will be working to and supporting the Senior Executive Assistant in supporting the CEO team on a day-to-day basis with business activities. You should have exceptional communication skills, strong problem-solving abilities, with a positive attitude, the ability to multi task and meet conflicting deadlines. You will be part of a team that is passionate about what they do, dynamic and driven to achieve their goals.

    Main Duties & Responsibilities:

    • Coordinate with the Senior Executive Assistant when scheduling meetings
    • Scheduling appointments and meetings, follow up on responses and attendance.
    • Scheduling and booking travel arrangements and itineraries.
    • Handle phone calls and convey important messages on time, every time.
    • Maintain confidentiality with crucial data of the organization
    • Editing and formatting documents and presentations
    • Maintaining and organizing files and records
    • Processing and tracking purchase requests, invoices and submit expenses.
    • Conducting research and preparing reports on request
    • Providing support as needed, such as preparing meetings requirements, follow-up on tasks (venue, organization, set-up)
    • Provide additional assistance in various administrative tasks as required, including ad-hoc projects.
    • Providing day to day support to the Senior Executive Assistant
    • Assist with creating presentation materials for executive leadership and board meetings.
    • Drafting and proof-reading correspondence (in and out)
    • Qualifications/Experience:
    • Minimum of 3 years experience in an admin executive position
    • Business degree or related field preferred
    • Communication, organizational, and time management skills
    • Ability to work independently and collaboratively in a team environment.
    • Proficiency in Microsoft Office Suite, especially Excel, PowerPoint, and Word
    • Positive attitude, attention to details, critical thinking skills
    • Exceptionally high level of confidentiality, tact, and diplomacy
    • Fluent in English and comfortable in communicating with top management and external partners and stakeholders
    • Proactive, independent, reliable, and demonstrating sound judgment and discretion in order to deal with confidential information
    • Must be able to maintain a high level of professionalism at all times
